Payslips that deliver themselves, with proof they were read

The context

Every month a company has to get a payslip to each of its employees. During the year, the thirteenth and fourteenth month payslips and the final payslips are added on top.

The problem

Payslips had to be handed out by hand, one by one, to every employee. A job that was repeated every month, and that left no record of who had actually received and read them.

The solution

• Bulk upload. All the PDFs are uploaded together, and each one ends up on its own in the right employee's documents.
• Different types. The system tells apart the monthly payslip, the thirteenth, the fourteenth and the final one.
• Open first, then download. Employees can download a payslip only after opening it: that way, proof of receipt is kept.
• On the phone. The documents area is also an app that installs on the phone straight from the browser.

The result

• The system is in use: payslips reach each employee without being handed out by hand.
• For every payslip there is proof that the employee opened it.
• It is one of more than 30 changes the client requested and that were completed in one month, from 31 July to 31 August.

What you can take away

• With personal documents, sending them is not enough: what matters is being able to show they arrived and were read.
• A task that repeats in the same way every month should be automated once.
• For a tool used by employees, an app that installs from the browser is often enough.
